Real Estate Practice Group Paralegal

Key responsibilities

  • Review and analyze LLC Operating Agreements, Corporate Bylaws, Resolutions, Partnership Agreements, and Trust Instruments to confirm who has authority to sign on behalf of an entity or trust.
  • Identify required supporting documents (e.g., Certificates of Incumbency, Good Standing Certificates, Consent Resolutions).
  • Review estate documents such as probate papers, Letters Testamentary, Letters of Administration, and Surrogate’s Court filings to confirm signature authority and estate capacity.
  • Coordinate with underwriters, closing attorneys, and internal clearance officers to ensure all authority documentation meets title and underwriting requirements.
  • Prepare concise authority summaries and signatory approval notes for closing files.
  • Flag deficiencies, inconsistencies, or missing documentation in entity/estate/trust files.
  • Maintain tracking systems for entity review workflow to support high-volume production.
  • Support title clearance team with due diligence, document organization, and record keeping.
  • Collaborate cross-departmentally to streamline entity review processes and improve turnaround times.

Required qualifications

  • Minimum 5 years real estate paralegal experience (commercial title/transactions strongly preferred).
  • Strong knowledge of title commitments, title curative process, recording, UCCs, entity & corporate documents.
  • Experience working with or for national underwriters (First American, Fidelity, Old Republic, etc.) or title agencies a plus.
  • Paralegal certification or degree preferred. Notary commission desirable.
  • Excellent written and oral communication, project/time management, and attention to detail. Proficiency with MS Office and title/exam software.

Preferred / nice to have

  • Experience with commercial closings, leasing, or multi-state matters.
  • Familiarity with eRecording and common title production workflows.
